1. Personal Information We Collect

Depending on the information you provide and your participation in the Event, we may collect:

• Registration details: First name, last name, email address, phone number, company name, designation and country.
• Professional information: LinkedIn profile, professional category or role, and other information you provide through the registration form.
• Event-related preferences: Meal preference, such as vegetarian or non-vegetarian.
• Referral information: How you heard about MAD by Animaker.
• Payment information: Registration amount, payment status, transaction references and related accounting records. Payment card or banking information may be processed by the applicable payment gateway.
• Attendance and communications: Registration confirmations, ticket information, check-in records and communications relating to the Event.
• Photographs and recordings: Photographs, video or audio recordings captured during the Event, where applicable.
• Technical information: Relevant technical or usage information processed by Zoho Backstage or other service providers in connection with registration and event management, as applicable.

Please provide only accurate information and avoid submitting sensitive personal information unless specifically requested and necessary.

2. How We Use Your Personal Information

We process personal information for the following purposes, subject to applicable law:

• To register attendees, process payments and issue registration confirmations.
• To manage attendee lists, check-ins, event communications and participation.
• To coordinate venue arrangements, catering, security and other event logistics.
• To understand attendee professional profiles and evaluate the effectiveness of our event outreach.
• To approach prospective sponsors using limited, relevant professional information, as described in Section 4.
• To facilitate professional networking where an attendee voluntarily opts in.
• To maintain payment, accounting and other legally required records.
• To respond to enquiries, address disputes, protect our rights and comply with legal obligations.
• To capture and use photographs or recordings for the purposes disclosed to attendees, subject to applicable legal requirements.

We will process personal information on an appropriate lawful basis, including consent where required. Registration does not automatically constitute consent to unrelated marketing communications.

3. Registration Platform and Service Providers

Registration for the Event is facilitated through Zoho Backstage. We may share relevant information with Zoho and other authorized service providers, including payment processors, venue operators, event coordinators and IT service providers, where necessary to administer the Event.

These providers may process personal information on our behalf or in accordance with their own applicable terms, depending on their role. We take reasonable steps to ensure that relevant contractual and data-protection requirements are addressed.

4. Sharing Personal Information with Sponsors

Animaker may share limited professional information with prospective sponsors and relevant attendee information with confirmed sponsors, as follows.

A. Prospective Sponsors

While approaching potential sponsors, Animaker may share limited professional information, such as your company name and designation, to demonstrate the professional profile of expected attendees and support sponsorship discussions.

For this purpose, Animaker will not share your name, email address or phone number with prospective sponsors.

B. Confirmed Sponsors

Once a sponsor has formally partnered with Animaker for the Event, we may share relevant attendee information, including your name, company, designation and email address, with that sponsor for Event-related professional networking and follow-up, subject to applicable law and any required consent.

Where consent is required for this sharing, Animaker will seek it separately. Refusing consent to optional sponsor-related data sharing will not, by itself, prevent you from registering for the Event.

Sponsors receiving attendee information are expected to handle it in accordance with applicable data-protection requirements and the purposes disclosed to attendees. Any use of attendee information for a sponsor’s independent marketing activities must be appropriately disclosed and supported by the consent or other lawful basis required by applicable law.

5. Networking with Other Attendees

The registration page provides an optional checkbox allowing you to agree to share your profile information with other Event participants for networking purposes.

If you select this option, your profile information may be shared with other Event participants to facilitate professional networking. The information made available will depend on the networking feature and its configuration.

This option is voluntary and separate from the mandatory registration confirmation. If you do not opt in, your information will not be shared with other attendees through this optional networking feature.

6. Marketing Communications

We may send communications necessary to administer your registration, provide tickets, issue reminders and communicate Event-related updates.

Any promotional communications unrelated to the administration of the Event will be handled in accordance with applicable law. Where consent is required, we will seek it separately. You may opt out of marketing communications using the unsubscribe mechanism provided or by contacting us.

7. Photographs and Recordings

Photography, video or audio recording may take place during the Event. Where photographs or recordings are intended for promotional or other uses, Animaker will provide appropriate notice and obtain any consent required by applicable law.

Please contact us if you have questions or concerns about the use of your image or recordings. Any request will be considered in accordance with applicable law and the circumstances of the recording and its use.

8. Data Retention

Animaker retains personal information only for as long as reasonably necessary for the purposes for which it was collected, including Event administration, accounting, legal compliance and dispute resolution.

Our intended retention approach is as follows:

• Registration and attendance information: Generally, up to 12 months after the Event, unless a longer period is required or justified under applicable law or for legitimate legal purposes.
• Payment and accounting records: For the period required by applicable tax, accounting and other legal requirements.
• Meal preferences and operational information: Until the relevant catering and event-management purposes have been fulfilled, after which the information will be deleted or anonymized when no longer required.
• Information shared with sponsors: Subject to the disclosed purposes, applicable consent conditions and relevant legal requirements.
• Photographs and recordings: For as long as reasonably necessary for the purposes disclosed to attendees, subject to applicable law.

These periods are subject to Animaker’s applicable retention policies and any legal hold, dispute or statutory retention obligation. When personal information is no longer required, we will take appropriate steps to delete or anonymize it.

9. Data Security and International Transfers

Animaker takes reasonable measures to protect personal information against unauthorized access, loss, misuse or disclosure.

Zoho Backstage and other service providers may process or store personal information outside India, depending on their infrastructure and service arrangements. Any applicable international transfers will be handled in accordance with relevant legal requirements and appropriate safeguards.

10. Your Privacy Rights

Subject to applicable law, you may have rights to request access to, correction of or deletion of your personal information, withdraw consent where processing is based on consent, or exercise other applicable privacy rights.

To submit a request or raise a privacy concern, please contact us using the details below. We may need to verify your identity before responding. Certain information may need to be retained to meet legal obligations or establish, exercise or defend legal claims.

11. Applicable Law

This Privacy Notice is intended to operate in accordance with applicable data-protection and privacy laws in India, including the Digital Personal Data Protection Act, 2023 and applicable rules and requirements to the extent in force and applicable, as well as other relevant laws.
